Maviola uses third-party service providers to support website and business operations. Webflow hosts the website and processes website form submissions. Google Workspace is used for business email and related company records. HubSpot may be used as the primary CRM record for qualified prospects when a website inquiry advances into the sales process.
Website form submissions may be stored in Webflow and sent by email to authorized Maviola personnel. If an inquiry becomes a qualified prospect, relevant information may be entered into HubSpot, which then becomes the primary prospect record.
Maviola does not intend to retain ordinary website inquiry information indefinitely.
Test submissions and obvious spam are deleted promptly after any necessary verification or troubleshooting is complete.
For genuine inquiries that do not become active prospects or clients, Maviola uses an internal target of approximately 12 months after the last meaningful interaction, after which the inquiry should be deleted from Webflow and ordinary inquiry email records unless a legitimate business, security, contractual, tax, accounting, insurance, or legal reason requires continued retention.
If an inquiry becomes a qualified prospect, relevant information may be retained in the approved CRM under applicable prospect-management practices. If an inquiry becomes a client relationship, applicable client, contract, accounting, compliance, and records-retention requirements control.
Maviola aims to collect and use only information reasonably necessary for the applicable inquiry or relationship. Client and prospect information is handled under Maviola’s confidentiality, access-control, and data-segregation procedures. Maviola does not use one client’s confidential commercial information for another client without appropriate authorization and legal basis.
Maviola uses administrative and technical safeguards appropriate to its size and operating model, including company-controlled accounts, multi-factor authentication where supported, least-privilege access, and controlled handling of sensitive information. No method of transmission or storage can be guaranteed to be completely secure.
